Privacy Policy

What we collect
When you create an account we store your email address and display name. When you use the product we store the data you create: job applications you save (company, role, description, status, dates, notes, reminders), the text content of CV and cover letter documents you upload, the results of AI analyses you run, mood check-ins, community posts and comments, and an optional autofill profile (name, contact details, address, links, work-authorisation answers) if you choose to fill it in. We also record product usage needed to enforce plan limits, such as how many AI analyses you have run.
What the Chrome extension does
The extension runs on the Apptracka web app and on the supported job boards and applicant tracking systems listed at apptracka.app/supported-job-boards (around 45 of them). On those sites it reads the job posting you are viewing to detect job details (title, company, location, description) and watches for an application being submitted, and it sends that job data to your Apptracka account only when you save a job or a submission is detected. It shows its small widget only on job postings and application forms, not on other pages of those sites, and you can pause it entirely from its toolbar popup. An optional "all websites" mode - off by default, and enabled only through your browser's own permission prompt - extends the same behaviour to company career pages we do not bundle. The extension does not collect browsing history and does not track you across the web.
How we use your data
Your data is used solely to provide the product: tracking your applications, generating reminders, computing your dashboard, and - when you explicitly run an AI feature - sending the relevant job description and/or your CV text to our AI provider (Google Gemini) to generate the analysis you requested. We never use your data to train models ourselves, and we do not sell your data or share it with advertisers.
Note on the AI provider: AI requests are processed by Google under its Gemini API terms. AI features only run when you explicitly trigger them, so avoid including information in your CV or notes that you would not want processed by a third-party AI service.
Error reporting: when something breaks, the web app and the extension send a technical error report to Sentry, our error-monitoring provider. A report contains the error message, the app or extension version and - for the extension - the hostname of the site the error occurred on. Reports never include job descriptions, CV text, form contents or your name.
Where your data lives
Data is stored in a PostgreSQL database hosted by Supabase (AWS region us-east-1), with access restricted to your authenticated account through our backend; the database is never reachable from the browser directly. When you upload a CV or cover letter, we extract and store its text and do not retain the original file - keep your own copy of the document. Payments are processed by Stripe; we never see or store your card details. The API runs on Render and the website is served by Cloudflare.
Community content
Posts and comments you publish to the community are visible to other signed-in users. You can post anonymously - anonymous posts do not display your name. You can delete your own posts at any time.
Data deletion
You can export all of your applications as a CSV file at any time from the Applications page. You can delete individual applications, files, and posts in the app. To delete your entire account, go to Account Settings → Account Actions → Delete account. This removes your profile, applications, documents, community posts, comments, mood entries, and AI history immediately, and cancels any active subscription. It cannot be undone. If you would rather we did it for you, email the address below and we will remove everything within 30 days.
